What Are Workflow Management Rules?

Workflow management rules provide the ability for businesses to design their own business processes without having to have extensive programming skills. These rules can be used by organizations to automate the task of completion and to identify any potential issues in real-time.

In a workflow rule, the criteria for evaluation are set to determine the exact time the action should be executed. The criteria can be based on a variety of parameters, including field values as well as record types as well as the ownership of records and much more. Workflow rules can also be configured to trigger actions in response to events related to notes in a specific module. For instance, a company could create a rule to trigger when notes are changed or added so that it’s easy for support teams to keep track of mentions by competitors in emails and respond quickly.

A rule can trigger an immediate action or a scheduled one. Instant actions occur immediately after the rule has been activated. Scheduled actions trigger later.

When a scheduled action is activated, the action will be performed according to the set date and time. The action could be an email notification, field update, task, webhook, or function. You can also select any existing email notifications, tasks, field updates or webhooks to associate with the planned action. You can also select the tag that will be used to filter data recorded for this particular action.
